Quaderno: effective management of your customers' invoices

Simplify and improve your customer management by synchronizing Witei with your Quaderno invoicing tool.

Witei is currently compatible with Quaderno, a fantastic solution for invoice management in your business.

Synchronizing Witei with your invoicing tool (specifically, Quaderno), is the best solution to link your contacts tracking from your Witei CRM with their invoices, credit memos, quotes, etc.

Important note: this article is for managing invoices from your CRM contacts in Witei. Not for managing your subscription invoices with Witei. If you are looking for how to manage and/or view your subscription invoices with Witei you can access here.

Then, in this video we explain step by step how you can complete this configuration in Witei with Quaderno (in spanish laguage):

A. How to connect your Witei account with your Quaderno account?

To connect your Witei account with Quaderno you need an active Quaderno account, if you don't have one yet, click here to create one.

Once you have your Quaderno account you must follow the following steps to connect it with your Witei account:

  1. Go to the Settings area

  2. Expand the CRM options

  3. Select the Invoicing option

  4. Add the Private API Key of your Quaderno account in Witei

Once the connection between your Witei account and your Quaderno account is correctly saved, you will be able to use the synchronization between them.

B. How to access your clients' invoices?

To access your clients' Invoices you must follow these steps:

  1. Access a Contact's file.

  2. Go to the Contact's Invoices section.

  3. Choose if you want to create the contact you have in Witei in Quaderno or if you want to associate an existing contact in Quaderno with one in Witei.

When you select either of the two options Witei will show you if there are existing Invoices related to that contact or not.

Note: if you choose to associate an existing contact in Notebook with Witei you will need to add the contact ID in Notebook. You will be able to find the contact's ID in Quaderno from its tab. The ID is the number that appears in the URL.

If there is no Invoice when associating or creating the contact, you can create that Invoice from Witei so that it is generated in Quaderno associated to that same contact.

Remember that it is important that you have your Quaderno account open.

To create these Invoices for your customers you must follow these steps in Witei:

1. Click on the Create Invoice button.

2. Witei will automatically redirect you to Quaderno to add the details of the Invoice.

3. Finish completing the creation of the Invoice in Quaderno and you will automatically see this Invoice reflected in Witei.

Important:

  • Please note that the Company and/or Person categories in Witei are considered in Quaderno as Business and/or Individual.

  • Do not forget to add both in Witei and Quaderno correctly the VAT number, the contact address with city and zip code, because these data will be relevant for the Invoicing generated by Quaderno.

C. How to manage your customers' invoices?

The great advantage of this connection between Witei and Quaderno is that it gives you the possibility to visualize the Invoices associated to that contact from the contact's file in Witei.

From Witei you will be able to view the Invoices:

  • View the date.

  • View the amount.

  • View the type.

  • View the status.

  • View the number.

  • View the concept.

  • View the Invoice to download it.

D. How to manage your customers' payments?

Witei will allow you to manage your customers, Quaderno will allow you to manage your customers' invoices, and you will also need a way to receive payments from your customers.

Your Quaderno account will allow you to integrate different payment gateways such as:

  • Gocardless

  • Braintree

  • Square

  • Paypal

  • Stripe
