Segment your customers by grouping them using saved searches

A. What are saved searches and how to use them.

Having your CRM organized is of vital importance when making business decisions or carrying out marketing strategies.

Segmenting or grouping your contacts is a process that consists of categorizing customers into different groups that respond to their characteristics and particularities.

In this way, you can strategically adapt your business processes to each of these groups.

Thanks to Witei's "Saved Searches", you can divide your customers into groups based on common characteristics.

Here are some examples:

  • "All active owner contacts"

  • "All contacts (demands) active and interested in renting".

  • "All contacts that are in 'X' funnel stage"

  • "All contacts assigned to a specific user in my workspace".

  • Whatever you need!

Therefore, the steps to create these "saved searches" would be:

  1. Think about which list of customers you need to group.

  2. Access your Witei CRM section and apply the corresponding filters.

Once you have those filters applied, if you want to store that search to consult it whenever you need or use it in your campaigns, you can save it by clicking on "Save Search".

Keep in mind that:

1. That saved search will be present when you access your CRM section so that you can consult it whenever you need to.

2. All the contacts that are created after that saved search and that meet the applied filters will also be added to the list of that saved search automatically.

3. You will be able to consult all your saved contact searches by accessing the CRM section (at the top left):

  • If you click on the "tools icon" next to it you will be able to:

  1. Edit the name of your saved searches and who can see them.

  2. Delete saved searches.

  3. See which user created that saved search.

  4. You can mark that search as a favorite by clicking on the star. This means that this list of contacts will be opened by default every time you access your CRM section.

B. Practical examples with saved searches

We will now show how to create saved searches for three of the examples mentioned in the previous section of this article.

EXAMPLE 1: I want to group "all owner contacts that are active".

  1. Apply the appropriate filters: "Tag - is - Owner" and "Status - is - active".

  2. Click on: Save search.

3. You can now send campaigns to that group of contacts or have them organized in your CRM, without the need to filter every time you log in.

EXAMPLE 2: I want to group "all contacts (demands) active and interested in renting".

  1. Apply the appropriate filters: "Tag - is - claimant", "Status - is - active" and "Rent - is - True".

  2. Click on: Save search.

    3. You can now send campaigns to that group of contacts or have them organized in your CRM!, without the need to filter each time you access. The new demands interested in renting that enter your CRM from that moment on, will also be grouped there automatically if they meet all the filters applied.

EXAMPLE 3: I want to see "All contacts that do not have any office responsible assigned to them".

  1. Apply the appropriate filters: "Responsible - is unknown".

  2. Click on: Save search

  3. In this way, you can refer to this list whenever you need to assign contacts without a manager or check which contacts do not have a manager to speed up the management of these contacts.

EXAMPLE 4: I want to group "all contacts who are in the funnel stage: "Visit" of the Pipeline named: "Sale/Rent".

  1. Apply the appropriate filters: "Pipeline Stage - is - Visit (Sale/Rent)".

  2. Click on: Save search.

3. You can now send campaigns to that group of contacts or even run a "cold sale" campaign in a more orderly way!

Note that you will be able to select those saved searches as recipients of your marketing campaigns created in Witei so you can send more personalized messages, make more targeted email marketing campaigns and analyze your customers in a more orderly way.

Example 5: I want to see "all contacts that are interested in the same area"

This filter allows you to search for contacts that are interested in a specific area. This matches the area indicated in the interests section of your contacts. To do so, please follow these steps:

  1. Apply the appropiate filters: Add filter - Areas.

  2. Click on: Select areas

  3. Fill in the search zone with the area and click on: Save selected area.

  4. Click on: Apply

  5. Now you have a list of contacts that are interested in the same area!

C. Some considerations when filtering contacts.

From Witei we recommend filling in the contact's interests in the fields that are most important and common to use, such as:

  • If it's a sale or rent.

  • Maximum price they are looking for.

  • Area they are searching.

Then, when filtering, we must take into account that Witei cannot search for data that does not exist in the contacts, therefore if we do searches we have to make sure that those interests are filled in in the contact file so that it appears with the conditions that we set.


Another consideration would be the order that the "updated: oldest to newest" filter takes. This filter not only takes into account tasks, this filter takes into account other updates to the contact, for example:

  • Contact status.

  • Interests: prices they are looking for, areas, type of properties.

  • Stages of funnels.

  • Information details of the contact (Email - Telephone - Name)
